Managing Advance Tax Payments and Tax Installments in Odoo

Record and track advance income tax payments and quarterly installments in Odoo - applying prepayments against the final tax liability and monitoring the balance to avoid under-payment penalties.

Advance Tax Payments in Odoo#

Many tax jurisdictions require quarterly advance income tax payments based on estimated annual liability. Tracking these prepayments in Odoo ensures accurate net tax liability reporting and prevents missed installments that trigger penalties.

Creating an Advance Tax Prepayment Account#

Accounting → Chart of Accounts → New:

  • Name: Prepaid Income Tax
  • Code: 1540
  • Type: Current Assets
  • This account accumulates prepayments; it's reduced when offset against the final tax liability

Recording a Quarterly Advance Tax Payment#

Accounting → Accounting → Journal Entries → New:

  • Journal: Bank
  • Date: 2027-10-15 (Q3 installment due date)
  • Lines:

- Debit: Prepaid Income Tax (1540): $15,000

- Credit: Bank: $15,000

The cash is paid to the tax authority; the debit shows a receivable against the future tax bill.

Annual Tax Accrual Entry#

At year-end, when income tax is calculated:

Accounting → Accounting → Journal Entries → New:

  • Debit: Income Tax Expense: $55,000 (total estimated liability)
  • Credit: Income Tax Payable: $55,000

Offsetting Prepayments Against Liability#

Accounting → Accounting → Journal Entries → New:

  • Debit: Income Tax Payable: $40,000 (sum of Q1-Q3 advance payments)
  • Credit: Prepaid Income Tax (1540): $40,000

Net Income Tax Payable: $55,000 − $40,000 = $15,000 (final payment due with tax return)

Monitoring the Balance#

Accounting → Reporting → General Ledger → filter by account 1540 (Prepaid Income Tax):

  • Opening balance: $0 (January 1)
  • Q1 payment: $10,000 debit
  • Q2 payment: $12,000 debit
  • Q3 payment: $15,000 debit
  • Year-end offset: ($37,000) credit
  • Balance: $0 (fully applied)

If the prepayments exceed the final liability: the balance becomes a refund receivable - file for the refund or carry forward to next year.

Underpayment Risk#

If advance payments are significantly below actual liability:

  • Underpayment penalty applies (typically interest rate + premium)
  • Track: estimated annual liability quarterly vs. payments made
  • Increase Q4 payment if tracking behind to avoid penalty
