RFQ and Vendor Quote Comparison in Odoo#
Competitive sourcing requires getting multiple quotes and comparing them objectively. Odoo's Request for Quotation (RFQ) feature lets you send the same requirements to multiple vendors simultaneously and compare their responses in a single view.
Creating an RFQ for Multiple Vendors#
Purchase → Orders → Requests for Quotation → New:
Instead of selecting one vendor, leave vendor blank and add products:
- Product: Raw Aluminum Sheet
- Quantity: 500 kg
- Required Date: 2027-10-15
Send RFQ to Multiple Vendors:
- Click Send by Email → select multiple vendors to receive the same RFQ
- Each vendor receives a personalized email with a link to respond online
Or:
Purchase → Purchase Tenders → New (if the Purchase Tenders module is enabled):
- Create a tender with all required products
- Add vendor candidates
- Publish the tender with a response deadline
Vendor Response Entry#
When vendor quotes arrive:
- Duplicate the RFQ for each vendor (or let each vendor respond via portal)
- Enter their quoted price and lead time on each RFQ copy
- Confirm as "Received" (changes status from RFQ to Quotation Received)
Comparing Quotes#
Purchase → Orders → Requests for Quotation → select all related RFQs → Compare Quotations:
| Vendor | Price/kg | Lead Time | Total | Rating |
|---|---|---|---|---|
| Vendor A | $4.20 | 7 days | $2,100 | 4.5 |
| Vendor B | $3.95 | 12 days | $1,975 | 3.8 |
| Vendor C | $4.50 | 4 days | $2,250 | 4.9 |
The comparison view highlights the lowest price per line in green.
Selecting the Winner and Closing Others#
Click Choose on the winning vendor's line:
- That RFQ converts to a confirmed Purchase Order
- All other RFQs are automatically cancelled
The PO links back to the original tender for audit trail purposes.
Price History for Future RFQs#
Purchase → Products → [Product] → Purchase tab → Vendor Prices:
- Vendor A: $4.20/kg (last quote: 2027-09-20)
- Vendor B: $3.95/kg (last quote: 2027-09-20)
Next time this product is ordered, these historical prices are available as starting points for negotiation.
